After three years of dedication to the mission and work of Leadership Akron and Leadership Akron Alumni Association, Shelley Koch will retire in December to enjoy time with her husband and to travel and spend more time with her children and grandchildren. Heather Flohr, current Leadership Akron Executive Assistant, who has worked closely with Shelley for 3 ½ years, will move into the role of Graduate Engagement Coordinator in December upon Koch’s departure.

Job Title: Executive Assistant
Organization: Leadership Akron
Reports to: President
Hours: Full-time, 40 hours per week

The Executive Assistant provides executive support in a one-on-one working relationship with the President. The Assistant supports the effectiveness of the President in managing the success of the organization. This includes setting and confirming appointments, meeting preparation for various committees and appointments, follow-up activity to meetings and appointments, and other special projects as assigned. 

Duties and responsibilities 

  • Ensure a welcoming professional atmosphere in coordinating the duties and responsibilities connected with the President.
  • Ensure accurate and up-to-date management of the President’s calendar.
  • Provide thorough meeting preparation with identified documents and materials as directed by the President.
  • Provide executive assistance to President in support of new or strategic initiatives such as coordination of research and coordination of design teams.
  • Provide executive assistance and support to the Leadership Akron Board of Trustees.  
  • Provide support for the Board of Trustees (BOT) in terms of committees, minutes, and scheduling. This may include events that pertain to the governing board or organization which don’t fall into Alumni Engagement.
  • Conduct timely professional follow up and correspondence with Leadership Akron stakeholders, partners, and employers.
  • Communicates directly, and on behalf of the President, with Board members, donors, and other stakeholders on matters related to President’s initiatives.  
  • Work with external finance administrator to ensure timely preparation and receipt of financial reports for committee and board meetings.
  • Provide support to the Operations Coordinator for office management to include ordering of office supplies or working through office issues.
  • Provide support to operations for IT needs with staff.  From time to time this may be necessary.  (I.E. troubleshooting printers/computers for issues).
  • Assist other staff when needed for programs, events, or communication to classes or alumni. 

Qualifications

  • Knowledge and experience in executive support.
  • Excellent computer skills and advanced knowledge in current office software, including but not limited to MS Office and email systems.
  • Friendly and accurate verbal and written communication skills.
  • Post-secondary education in related field from a recognized institution plus three years of non-profit related work experience.  
  • Drive and commitment to meet the expectations of internal and external constituencies.
  • Must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
  • Team contributor who builds positive relationships and makes valuable contributions beyond individual performance to the success of the team.
  • Commitment to the Leadership Akron mission.
  • A demonstrated commitment to high professional ethical standards in a diverse workplace.
  • Ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

  • Demonstrated ability to be fast and accurate with details.
  • Open to direction, collaborative work style, and commitment to completing duties. 

Working conditions

  • From time to time use of a personal vehicle is be required.  
  • A valid driver’s license is required.  
  • A Background Check is required.  

This position will be based out of 54 East Mill Street, Suite 201, Akron, OH 44308. This is a full time (40 hours per week) position.
